Calendars

In brief: Connect Google or Outlook calendars so Meeting Bots can pick upcoming events and enable reliable @mention team guards when participant emails are available.

Calendars power the Join Meeting upcoming list and improve @mention behaviour. When a bot joins via a calendar-linked event, TestChimp can associate participant emails and allow org members to invoke the agent in chat. Ad-hoc URL joins still transcribe; mentions may stay restricted until participant identity is available.

Connect a calendar​

  1. Open Meeting Bots → Calendars.
  2. Choose Add Google or Add Outlook.
  3. Complete the OAuth consent for the account whose events you want listed.
  4. Confirm the calendar appears as connected (display name + platform).

You can disconnect a calendar later from the same page.

Connect the calendars your team actually schedules from. Multiple teammates can connect their own calendars so the project’s upcoming list covers shared work.

Join from the calendar list​

  1. Open Meeting Bots → Bots.
  2. Pick a personality → Join Meeting.
  3. Select an upcoming event that has a Meet / Zoom / Teams / Webex link, or paste a meeting URL.
  4. Confirm join. Session status advances through joining → waiting room (if any) → in call → ended.

If a calendar event has no meeting link, add one in Google / Outlook or paste the URL in the join modal.

Tips​

  • Prefer calendar events with a conferencing link for production use—better @mention team guard, clearer titles in Meetings.
  • Keep meeting titles meaningful; they become the default title on the stored transcript.
  • Disconnect calendars you no longer need; transcription history under Meetings is independent of calendar connection.
